How to Plan an Outdoor Christmas Party

Anyone who has ever been to an outdoor holiday party can tell you that this twist on a traditional favorite is a great way to wow guests. Taking your Christmas party outside is a fun way to mix it up and give attendees something they don’t expect. Getting together at a heated outdoor venue or an indoor party venue like a rustic cabin or barn with planned outdoor activities offers a seasonal take on celebrating with friends, family, and coworkers.

Not sure where to get started? Follow these four steps to plan a perfect outdoor holiday event:

Find a Venue

Farms are a great place to start looking for venues to host your event. Many farms are appreciative to have the business in the off-season and will be more accommodating to preferred dates than typical venues. Also, they’re more likely to have the basis for fun outdoor winter events like a horse-drawn or tractor-drawn trailer ride for guests.
Parks and other public areas are also more likely to have availability (even at the last minute). Depending on the venue though, you may not be able to guarantee that it’ll be private because some parks and outdoor venues don’t allow exclusive reservations.

Seasonal attractions like skating rinks and light show displays can typically be rented for functions as well. Start calling early to find the right venue for your event. You want to ensure that the venue will fit the size of the event you’re planning as well as provide the added amenities that you’ll need for your event.

Rent Heaters or a Heated Tent

Outdoor winter beauty is spectacular, but it can also be quite chilly! Plan to keep guests warm by renting heaters or a heated tent. Attendees will stay longer and have a better time if they don’t have to be bundled up rubbing numb fingers to get feeling back into them. Fire pits and bonfires can also serve this function, although they aren’t as safe for children.

Rent Heated Portable Restroom Trailers

Never make your guests use an outhouse in the winter for an outdoor event! Instead, rent <a href=”http://kerkstraservices.com/portable-restrooms/event-restroom-trailers/”>heated bathroom trailers</a> for guests to use. They come equipped with interior and exterior lighting as well as hot/cold running water for comfortable use in the winter.

Plan Appropriate Food and Beverages

Plan hearty food and warm drinks for guests. Comfort food is always a good choice for outdoor winter events whether you’re just planning on serving appetizers or a full meal. Things like chili, mac and cheese, and soup are wintertime favorite foods among guests. Drinks like hot chocolate, hot cider, and coffee are always appreciated as well. As a bonus, many of these food and beverage items are kid-favorites too!

Potty Like a Rockstar – Neighborhood Party Edition

If you’ve been following our Party Like a Rockstar blog series, you’ll know that we’ve been covering different events that portable toilets can be used for to have a great time outdoors. In this edition, we’re talking about neighborhood parties.

The goal of every party is to get people together to have fun. However, depending on how many neighbors you have, you may not want that much togetherness. Having everyone come inside to eat and drink and use the bathroom can be a pain. Instead, keep kids and adults outside by serving food out there and providing portable toilets nearby for everyone to use. This can be a real time-saver after the party is over because it eliminates extensive cleanup.

While regular portable toilets will do the trick, you may want to provide something nicer for guests to use to mimic the homey feel of a neighborhood party. (And depending on neighborhood ordinances and owner association rules, standard units may not be allowed anyways.) Instead, check out these great alternatives:

Elite Units

A step up from regular portable toilets, Elite Units have more spacious interiors as well as features like foot pump flushable toilets and fresh water sinks. Additionally, they come stocked with supplies like soap and hand towels to use. They also have handy extras like mirrors, shelves, coat hooks, and hand sanitizer. These additional items make the Elite Unit visually inviting, highly accommodating, and a great choice for neighborhood parties.

Luxury Restroom Trailers

Luxury portable toilet trailers take portable restrooms to a whole new level. With large, climate-controlled interiors, they can be used year-round in all weather to give guests a luxurious place to use the restroom. In fact, these trailers are so nice that they are the top choice for weddings, black tie fundraisers, and other fancy events.

Restroom trailers have functional amenities like flushing toilets, sinks with hot/cold water, and well-lit interiors. However, their amenities don’t end there! Depending on the trailer, they can also have wooden cabinetry, wide vanities, large mirrors, hanging wall art, accent rugs, faux flowers, and exterior lighting.

They are also available in many different configurations to suit events of various sizes. With everything from 2-stall to 10-stall options, they can accommodate parties for up to 1,000 attendees, which means your neighborhood party will be a breeze.

Handwashing Stations

This is an often-overlooked accessory, but any party that has food (so basically, every party) can benefit from having a standalone handwashing station! Giving people a convenient place to wash their hands encourages everyone to stay clean. This is especially important for families because it gives parents an opportunity to wash kids’ hands without having to wait in line. The result is a more sanitary gathering, which is crucial when food is being cooked, serviced, and consumed.

Potty Like a Rockstar – Tailgating Edition

Do you #PottyLikeARockstar? Well, we do!
In this edition of our Potty Like a Rockstar series, we’ll tell you what you need to know about renting portable restrooms for tailgating functions. Whether your tailgate is school-wide, just between some friends and family, for your whole neighborhood, or a professional event with paid admission, we’ve been a portable toilet supplier for it all! Here are your rental options for this football season:

Porta Potties

Standard portable toilets are great for two things – renting bathrooms on a budget and spacing out restrooms across a wide area. Regular porta johns are a no-frills solution to give tailgaters and party-goers the basics. Equipped with a toilet, urinal, and hand sanitizer pump, these standard units can be strategically placed to give people bathroom options in many different areas, or clustered together to create a giant bank of toilets to minimize lines.

Ensure you’ll have enough porta potties for your tailgate by using our event planning chart.

Depending on the needs of your event, you can also rent elite porta potty units or accessible units to supplement your standard rentals.

Handwashing Stations

Handwashing stations are the most underutilized tailgating element that we typically see. These standalone sinks allow users to wash hands with soap and running water. These are vital to any tailgate because they provide attendees with a way to get hands thoroughly cleaned before indulging in the delicious finger foods like hotdogs, chips, and wings that are a staple of every tailgate.

Hand sanitizer stations are another way to keep tailgaters’ hands clean. While these pumps don’t clean hands in the same way that sinks do, they offer a way to kill bad bacteria on hands quickly. While each porta potty has its own hand sanitizer pump inside, setting up pumps outside bathrooms has a few important benefits:

  • It speeds up lines by offering a place for users to get hands clean after using the bathroom once they’ve exited, which means that they don’t have to take the time to do so in the portable toilet unit itself, freeing it up more quickly for the next user.
  • It uses social pressure to encourage users to clean hands after going to the bathroom. While some people may skip this step inside the privacy of the bathroom, they are less likely to do so out in front of others, especially other people they know.
  • It gives people a place to clean their hands without having to go into the bathroom. This reduces lines and improves sanitization.

Restroom Trailers

Luxury portable toilet trailers are an excellent option for classy tailgates or paid tailgating functions. Give guests something to remember by offering them the best in luxury restrooms. Ticketholders can be reassured that while they’re going to be enjoying pre-game fun, they won’t have to rough it. With climate-controlled interiors, running hot/cold water, and flushing toilets they may even forget that they’re at an outdoor event!

How to Avoid a Summer Block Party Disaster

Block parties are the hallmark of the summer season. There’s no better way to get friends and neighbors together to enjoy the sticky summer nights than having a block party. However, not planning appropriately can result in a serious party foul. If you want to plan the kind of get together that people will be talking about for months and years to come, don’t forget to plan for these essentials:

Parking

Unless everyone will be walking or biking, you’ll need to plan for parking to avoid annoying neighbors or causing a traffic jam. There’s nothing worse than angering the people you need to see every day, which means that you need to figure out a place for your guests to park that won’t interfere with your neighbors’ ability to get in and out of their homes quickly.

Additionally, local ordinances may govern where or how long people can park on your street. Violating these can be more serious – resulting in tickets, fines, and even having cars towed.

If you can accommodate lawn parking, an easy idea is just to have guests park on your grass, otherwise you’ll need to secure some parking nearby your house. Asking neighbors to lend their driveways or approaching local businesses can generate additional parking spaces. If you have a park or other public area near your home, you can always ask guests to park there and then just shuttle them back and forth.

Food

Block parties tend to attract lots of people, even some that weren’t invited. You don’t want to run out of food when neighbors and other acquaintances start dropping by unexpectedly. Ensure that you have enough food for everyone by making or ordering extras of everything. If you have lots leftovers, you can always offer to-go bags to guests as they leave.

Don’t supply food that’s perishable if it’s going to be sitting out all day. Dishes with mayonnaise or eggs can go bad quickly in the hot summer sun. Plan to replenish meat quickly from other containers that are being kept at appropriate temperatures inside so that guests aren’t served old food. Also follow proper food handling protocols to avoid contaminating cooked food with raw food. These precautions will help you to avoid foodborne illness.

Bathrooms

Assuming that guests can just use your home bathroom is the biggest mistake that people make when having an outdoor party. Asking people to come inside brings in messes that could otherwise be kept outside. Additionally, regular home bathrooms can’t accommodate enough people to avoid lines, which means that people will end up waiting around inside your home – missing out on the party and congesting areas where food prep is being done.

Instead, provide portable restrooms to keep the party going strong outdoors and minimize mess inside. You can choose from typical portable bathroom units or luxury restroom trailers depending on what fits your party best. Restroom trailers are sure to impress guests with their amenities and can typically be run off of standard water and electrical hookups.

Entertainment

Whether you’re planning to have water fun, a bonfire, a live band, sports, tailgating activities, or some other form of entertainment, ensure that there’s something for everyone. People will be more likely to stick around if there’s something for them to enjoy regardless of their preferences. This means offering fun stuff for people of all ages throughout the day. Staggering entertainment is a great way to have interesting things going on no matter when someone arrives and leaves so that people don’t miss out on “the big event.”

Consider the weather when planning entertainment and have a contingency plan in case it rains or is hotter/colder than imagined. Things like tents can serve multiple functions, protecting guests from rain and also direct sunlight on those blazing hot days.

Planning the Ultimate 4th of July Party

Independence Day is the perfect occasion to throw a great summer party for friends and family. But don’t just settle for the same old stale party go-to options this year, make your 4th of July party one that guest won’t soon forget!
These are the must-haves for the ultimate 4th of July celebration:

  • Food

Themed food is always fun for the 4th of July, but don’t feel restricted by trying to make everything red, white, or blue. Let your creative juices flow when it comes to planning a meal. Choose seasonal favorites like grilled items and fresh summer salads. Nothing is more patriotic than firing up the grill and cooking a big mound of burgers and hotdogs for friends and family. You can also grill veggies and chicken to provide healthier options as well.

If the party will be outdoors, choose ingredients wisely to avoid anything that could spoil in the hot sun. Alternatively, you can create ice baths for potato salads and other perishable dishes. Just understand that this will be more work than simply avoiding those items in the first place.

If you’re asking guests to bring food as well, organize the potluck to ensure you have a wide variety of dishes. The easiest way to do it is to provide the meat or main dish and have guests bring side dishes and desserts. However, you can play with the potluck concept to make it fun for everyone involved by creating a quirky theme or doing sweets only for an indulgent feel.

  • Drinks

While many 4th of July parties include adult beverages, like beer, spirits, wine, and champagne, your party can have any kind of libations. Choosing refreshing options like sparkling juices and craft sodas will leave guests feeling hydrated while still providing a swanky option. Alternatively, you can go the classic route by stocking up on pop varieties. No matter what you decide to offer, ensure there are plenty of options for guests of all ages. And don’t forget the water! Bottled water is necessary for any summertime party, especially all-day gatherings.

  • Activities

Choose activities to keep people entertained all-day. Lawn games like corn hole are sure to bring people together. If there’s a pool or lake nearby, tell guests to bring their swimsuits and sun screen to take a dip while at the party.

If there are going to be lots of kids at your party, you can also hire family-friendly entertainment like a balloon artist, face painter, or a portable petting zoo. Older guests may appreciate a band or DJ to make the party rock.
Don’t forget evening-time activities to keep guests entertained while they wait for fireworks to start. Things like flashlight tag and glow in the dark scavenger hunts are fun for kids, while campfires are always fun for adults.

  • Fireworks

Obviously, a fireworks display is the hallmark of any 4th of July party, but you don’t have to set off your own blasts to wow guests. With as many fireworks displays as there are all around Independence Day, finding one nearby to watch isn’t hard. Just ensure that guests will have a great sightline to the fireworks before the big day. Set out blankets and chairs t make watching the display more comfortable, and don’t forget to include evening drinks and snacks for this family-favorite activity.

  • Restrooms

No matter where your party will be held, you’ll need to provide enough restrooms for guests. If you’re hosting a party at your house, it’s easy to assume that your home bathrooms will be sufficient. But, depending on how many people are invited, you may need to supplement these bathrooms with other restroom options.

Some people even choose to make their home bathrooms off-limits during a party, renting outdoor portable luxury restrooms instead for guests’ exclusive use. This option keeps people out of your house to avoid tracking in messes.

6 Considerations for When Your Small Gathering Turns into a Big Party

We’ve all been there! You invite a few friends, family members, or neighbors over for a party/the big game/a holiday meal/etc. and then it spirals out of control. Your spouse or kids (or both) invited more people who are all bringing their families now and someone asked if they could bring some of their friends too. Now your small gathering has turned into a big shindg.

Before you panic, take a deep breath and remind yourself that you’ve got this. The whole thing doesn’t have to become stressful and scary if you take some time now to plan for the crowd that’ll be coming.
Here are the biggest factors you’ll need to take into consideration:

  1. Food
  2. Obviously, you’re going to need more food now. But before you start adding more menu items and increasing the amount of work you’ll need to do, use these tips to ratchet up food quantities while minimizing work:

    • Find foods that can be prepared with minimal effort like crockpot dishes and simple appetizers. If you have kids that want to help, this is a good way to get them involved while taking some of the work off your plate.
    • Scale up existing food plans by doubling or tripling dishes that lend themselves well to large portions like casseroles and grilled items. You’ll have more food without needing to plan additional ingredients. Just get more of everything when you go shopping and increase portions from there.
    • Order out! Pizza, subs, and family-style dishes are a great way to stretch your budget when you need to feed a lot of people. As a bonus, if your order is large enough, your favorite restaurant or local eatery will probably deliver even if delivery isn’t usually offered.

Remember that you can always ask guests to bring a dish potluck-style to help you out. Many people will probably ask ahead of time if there’s anything that they can bring, so this is the perfect opportunity to ask for some side dishes, salads, and desserts.

  3. Space
  4. If your event is in the spring or summer, you can always move additional guests outdoors to maximize space. However, if your gathering is in the fall or winter, you’ll need to get a little more creative. Usually rearranging furniture can free up more space for people to stand, sit, and eat. Another idea is to expand to another area of your house. Consider cleaning out an area of your home that’s usually off-limits like a basement or upstairs loft to accommodate more people.

Alternatively, you can opt to rent a venue or reserve a free venue like a church or public place to host your event. Just be sure to clearly communicate the change to guests so that they know what to expect!

  5. Bathrooms
  6. More people means more… um… need for bathrooms! Portable toilet rentals can help you accommodate more people at your event. But don’t think that you’ll need to have a porta potty delivered to your front steps. You can opt for a luxury portable restroom rental to keep your event feeling home-y and nice. These trailers come in many different sizes and tout a wide variety of amenities and features to keep guests happy. As an added bonus, they can be used in all seasons and weather conditions because they’re climate-controlled.

  7. Entertainment
  8. Don’t forget to plan more entertainment and activities for your additional guests. Ensure that the items you’ll offer are age-appropriate and provide plenty of options to keep people entertained. This may mean offering kids activities while the adults watch the big game or having yard games for people who aren’t interested in the concert you were planning, but the extra effort that you put in will pay off when people enjoy themselves and are thankful that you hosted such a wonderful gathering.

  9. Parking
  10. Where will all the extra cars go? Plan for this ahead of time to keep your neighbors happy. Familiarize yourself with the policies of your neighborhood, city, or township to ensure that guests won’t be breaking any rules or local statutes. If you need extra space, ask your neighbors if guests can park in their driveways too.

  11. Trash
  12. Plan to have lots of trash during the event and afterwards. Consider getting some larger trashcans to accommodate the increased amount of trash. You may also want to get another can for recyclables or deposit items to keep them separate. Plan to make a trip to your local dump after the event or inform your trash collection company that you’ll have a large pick-up the following week.

Luxury portable restrooms will give guests the feeling that they’re using the bathroom at a 5-star hotel or restaurant instead of an outdoor event. These high-end features are the reason event planners across Michigan rent luxury restroom trailers for black-tie events of all sizes:

  • Comfortable Interiors
  • Unlike the space-saving design of traditional porta potties, restroom trailers off spacious interiors. The extra space gives guests plenty of room to comfortably move around without feeling cramped, which is a must-have when dressed nicely. It’s also conducive to primping, which is something that wedding guests and guests in formal attire appreciate. The countertops and large mirrors provide an area that’s suitable for grooming activities like fixing hair and touching up make-up.

Luxury portable toilet units are also climate controlled, providing cool air-conditioned insides on hot summer days as well as warm toasty interiors on chilly fall or winter days. Your guests will feel comfortable using the restroom in any season, and this consideration on your part will go a long way in making them feel valued.

  • Flushable Toilets
  • The hallmark of any porta potty is the large holding tank of standing blue water that collects waste and paper. Luxury portable bathrooms, however, have flushing toilets to keep improve aesthetics, comfort, and odors. This makes restroom trailers like the plumbing you’d find in an indoor bathroom, making them more familiar to guests.

  • Functional Sinks
  • Bathroom trailers have sinks with running hot and cold water to make hand washing convenient and comfortable. Many guests prefer traditional sinks over hand sanitizer pumps because they provide a batter clean. Improve the sanitation at your event by renting bathrooms that have built-in sinks for easy handwashing.

  • Décor
  • The most pleasantly surprising feature of luxury restroom, trailers is their aesthetic appeal. Unlike the utilitarian interiors of porta johns, luxury restrooms have elegant décor to invite guests in and set them at ease while inside. Accent rugs, recessed lighting, hanging wall art, faux plants, and other decorative touches give the essence of a high-end restroom. While it may seem odd to discuss the ambiance of a bathroom, you want impress guests with luxury and comfort across every space at your event.

Planning a Spectacular Spring Birthday Party

It’s cold and dreary out, which makes it an excellent time to start planning your fun outdoor spring events. If you have a loved one with a birthday coming up in the next few months, make them feel special by throwing a big birthday bash to celebrate! Taking the time to plan in advance ensures that your event will go smoothly and leave friends and family talking for years to come. So, whether it’s a milestone birthday or just another year, celebrate the life of a friend of family member this spring using these helpful tips:

Choose a Location

The first thing you’ll want to do is find a venue. If you’re planning an outdoor celebration, you’ll likely have plenty of options to choose from in the spring because it’s a less busy time for event planning than the summer. Whether you choose to have the party at a local park, campground, farm, or other outdoor location, make a reservation ahead of time (where available) to secure your preferred date.

Pick a Theme

Themed parties are back in style for adults and have always been popular for kids. So, pick a theme, or at least a color scheme, and go crazy. The further you plan ahead of time, the more likely you are to find great ways to incorporate the theme into every element of the party. Pinterest is great for finding inspiration around almost any party idea that you can think of, and you can organize your favorite ideas on a secret board to avoid tipping off the birthday gal or guy.

Get Entertainment

Live entertainment like a band or magician is always fun for a birthday party, but if you don’t have the budget for hiring entertainment, you can make your own fun by organizing inexpensive activities for guests. Plan games, sports, and other friendly competitions with prizes to give the party some structure. Consider your guest list when selecting games to make sure that they’ll be age and skill-level appropriate.

Set a Guest List

Determining who to invite is often the trickiest part. Invite any friends and family that you can’t imagine not being there and then add additional “nice-to-have” guests as the budget or venue selection allows. Keep in mind that while not everyone you invite will attend, you’re likely to have a higher turnout than you would if you were planning the party at a busier time of the year (like around the holidays or during summer break).

Plan Food/Drinks

Nothing gets people talking faster than good food, which is why having delicious food and drinks is integral to any great birthday party! No matter how old your guests are, find the right foods and snacks to offer a stunning meal. Whether you’re going to have the party catered or do the preparation yourself, select foods that will keep well outside and delight guests.

Rent Luxury Restroom Trailers

Luxury portable toilet trailers will wow your guests and make them want to stay at the party all day. Their climate-controlled interiors are perfect for any weather, and their spacious interiors are great for families. Most of your guests probably have never experienced the luxury of a portable restroom trailer, which means that booking one for your outdoor party will be a topic of conversation in the best possible way. Go big for your birthday bash, we guarantee you’ll be glad you did!

How Many Porta Potties is Too Many?

“How many portable toilets will I need?” We get this question a lot, which is why we developed a handy guide to help you estimate how many porta potties you’ll need.

Generally speaking, you’ll need one portable toilet for every 50 guests for every 3 hours, which sounds simple enough. However, the math can get a bit tricky depending on the details of your event. As a result, you may be left wondering how many porta potties is too many.

The simple answer is, you can never have too many porta johns! Okay… if you have more toilets than people at your event, that might be too many!

But seriously, when it comes to portable restrooms, more is always better because it results in:

  • Shorter Lines

More bathrooms equal shorter lines. That means that your guests get to spend more time enjoying your event, which is even more important at special events like weddings.

Shorter lines also result in greater guest satisfaction, which is crucial when you’re charging for admission or fundraising.

  • More Options

Just like waiting in line, having to walk a long way to find a bathroom takes away from guests’ enjoyment of your event as well. (It can also be a recipe for disaster at family-friendly events where there are many younger children.)

Events that are held over a wide geographic area should offer plenty of bathroom options for guests that are close to their location no matter where they are. This convenience is something that guests really appreciate because it means that they don’t all have to stay clustered in one area or walk a long way back to the bathrooms.

  • Cleaner Units

When your guests have fewer toilets to use, each one gets used more often. That results in messiness and unpleasant smells accumulating faster because the tanks get filled up more quickly with toilet paper and waste. Conversely, when your guests have more units to choose from, they get filled up more slowly. This probably won’t matter much if your event is just a few hours long. However, if you’re planning an all-day event, this can make a real difference by the end of your event.

  • Greater Accessibility

Typically, event planners will only rent one ADA-compliant unit for every 5-20 standard units. These bigger units are not only easier for people with mobility issues to use, they’re also great for families that need to get multiple children and/or strollers inside. The more total units you rent, the more likely you are to rent additional handicapped accessible units. This improves the accessibility for your event overall, which is always a great thing!

How to Avoid a Scheduling Conflict with Your Large Event

Here at Kerkstra we’ve definitely seen our share of large events delivering portable toilets and luxury restroom trailers all across Michigan, which is why we know that the worst thing that can happen is a low turnout. If you’re planning a large event, you want to make sure that your hard work pays off by attracting lots of attendees (especially if it’s a paid event). Whether you’re planning a community gathering, a music festival, a big wedding, or any other get together, these tips will help you avoid a scheduling conflict:

Consult Key Guests

If you have a way to communicate with your VIP guests, ask them which dates and times work best for their schedules in advance. You can email executive employees for corporate events, poll existing customers for in-store events, and set up an online survey for local community events to determine when to have your gathering. This will give you a better chance of getting more of them in attendance and will put your event on their radar so that they can schedule accordingly.

Check Community Event Calendars

The last thing you want to do is plan your event for the same day as another popular event in your area. Making your event compete for attendees with other big local happenings means that you’ll lose at least some people that would otherwise have been in attendance. It also means that any advertising that you do leading up to the event may end up being overshadowed if the other event organizer has a bigger marketing budget.

Respect Holiday Plans

Holding events on major holidays or over holiday weekends only works if the event has something to do with the holiday (like a Fourth of July picnic and fireworks show or Turkey Trot run). Otherwise, your event will conflict with people’s normal celebration of the holiday with friends and family. This is why wedding planners often advise against scheduling a wedding on a major holiday to respect guests’ plans.

Consider Your Target Audience

Think about who you want to come to your event and then pick a date and time that works well for them as a demographic. For instance, if you want to attract families with young kids, don’t have your event start too late or run for too short of a period of time, otherwise it may conflict with bedtimes or nap schedules, limiting attendance.

Use Past Dates

If the event that you’re planning is an annual event, lean on when you’ve had it before. For instance, if you typically have your event on the first Saturday in December, assume that your guests are expecting your event to take place at that time again this year and don’t stray too far from that normal date. This gives regular attendees the opportunity to plan well in advance so that they can come out to your event again.
